How Omniva Policy Manager Works

1. Email is automatically encrypted by sender
• After a user composes an email message and hits the Send with Policy button, Policy Manager automatically encrypts the message with an unique decryption key at the email client before the message is released for delivery.
• The unique message decryption key and the policy applied to the message are automatically stored securely on the Omniva Policy Server.
2. Normal email routing
• Other than being encrypted in form, the customer's entire message is sent as a normal email.
• Existing enterprise email security mechanisms remain unaffected; encrypted emails are delivered by the same mechanisms as normal emails (e.g., If a message is sent between two employees using Policy Manager within the same company, then that message will never need to go outside the firewall of that company.).
3. Email is automatically decrypted by recipient on any email client
• Upon receipt, the recipient automatically decrypts the email message by opening the message and thereby automatically and securely retrieving the unique decryption key from the Policy Server.
• Policy Server can enforce the policy applied to a message by controlling access to the decryption key because an encrypted message is unreadable without the decryption key.
4. Upon expiration, messages are unreadable
• Each key is only retained for a set period of time based on the retention policy applied to the associated message.
• Once a key expires, the associated message is unreadable. This means that all copies of the message are permanently unreadable, inside the network and outside, on hard disks and on backup tapes. No copies or backups of the message need to be deleted because without the key they cannot be read.
5. Central Administrator tools are available through the Policy Studio and Policy Monitor.
• Based on their own email policy, companies can centrally define, establish & modify email retention rules.
• Policy Monitor enables policy tracking and special rules to ensure compliance with legal discovery requests.
